Reecenben Privacy Policy

This Privacy Policy explains how Reecenben, Inc. ("Reecenben," "we," "us") collects, uses and shares personal information through our corporate website reecenben.com, our electronic signature service at sign.reecenben.com, and our corporate email channels (together, the "Corporate Services"). Reecenben, Inc. is a Delaware corporation at 300 Creek View Road, Suite 209, Newark, Delaware 19711, USA.
Some Reecenben products have their own privacy policies, which apply instead of this one when you use them. These include Reecenben Studio (studio.reecenben.com), DropIn (dropin.reecenben.com) and Courio (getcourio.com).
1. Information we collect
Information you give us
- Contact form and email: your name, email address, inquiry type (such as investor relations, media, corporate opportunities or careers) and your message, plus anything you attach.
- Investor, partner and acquisition inquiries: information you choose to share about yourself, your company or a business you propose.
- Careers: your resume and any information you include in an application.
- Electronic signatures: when we send you a document to sign at sign.reecenben.com, we collect your name, email address, the signature you draw, type or upload, any information you enter into the document's fields, and the document itself.
Information collected automatically
- Signing audit trail: for each document, our signing service records when it was sent, opened, viewed, signed or declined, together with the IP address and browser information of each signer. This audit trail is attached to the completed document as evidence of signing.
- Analytics: we use Umami, a privacy-focused analytics tool that we host ourselves at stats.reecenben.com. It does not use cookies and does not build profiles of individual visitors. It records page views, referring sites, browser type, device type, operating system and approximate country, derived from your IP address without storing the IP address itself.
- Server logs and security: our servers record IP addresses, request times and browser information for security, troubleshooting and abuse prevention.
- Essential cookies: the signing service uses cookies that are strictly necessary to keep a signing session secure. We do not use advertising cookies.
2. How we use information
- To respond to your inquiry and route it to the right person.
- To evaluate investment, partnership, acquisition and employment opportunities you bring to us.
- To prepare, send, execute, store and deliver signed documents, and to prove when and how a document was signed.
- To keep corporate, contract and governance records.
- To secure our websites and services and prevent fraud and abuse.
- To understand how our website is used, using aggregated analytics.
- To comply with law and enforce our agreements.
3. How we share information
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share personal information only with:
- Service providers that act on our instructions, including Hostinger (email hosting) and the hosting providers of our servers. Our electronic signature service is software that we host and operate ourselves.
- Other parties to a document. When you sign a document, the sender and the other signers receive the completed document and its audit trail, which show your name, email address, signature and signing details.
- Professional advisers, such as our attorneys and accountants, under confidentiality obligations.
- Legal and safety recipients when required by law, subpoena or court order, or to protect our rights, our users or the public.
- A successor in a merger, acquisition, financing or sale of assets, subject to this Policy.
4. Data retention
- Inquiries and correspondence: up to 3 years after our last contact, unless the inquiry becomes a business relationship.
- Job applications: up to 2 years after we receive them.
- Signed documents and their audit trails: for as long as the agreement is in effect and for 7 years after it ends, because they are legal records. Unsigned or declined documents: up to 1 year.
- Server and security logs: up to 90 days.
- Analytics data: kept in aggregated form, which does not identify you.
We delete or anonymize information when it is no longer needed for these purposes, unless the law requires us to keep it longer.
5. Security
We use reasonable administrative, technical and physical safeguards, including encrypted connections (HTTPS), encryption of signing data in transit, access controls, and multi-factor authentication for staff accounts. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
6. Your privacy rights
Depending on where you live, including in California, Colorado, Connecticut, Virginia, Utah, Texas, Oregon and other U.S. states with privacy laws, you may have the right to:
- know what personal information we collect, use and disclose, and get a copy of it in a portable format;
- correct inaccurate personal information;
- delete personal information we hold about you;
- opt out of the sale of personal information, targeted advertising and certain profiling (we do not do any of these); and
- not be discriminated against for using your rights.
We may decline to delete records we must keep by law or to establish, exercise or defend legal claims, such as signed agreements and their audit trails.
To make a request, email info@reecenben.com with the subject line "Privacy request." We will verify your identity by matching information you give us with our records, and we respond within 45 days. If we need more time, we will tell you, and the total will not exceed 90 days. You may use an authorized agent, who must provide proof of your permission. If we deny your request, you may appeal by replying to our decision with the subject line "Privacy appeal," and we will respond to your appeal within 60 days.
We treat a Global Privacy Control signal from your browser as a request to opt out of sale and sharing. Because we do not sell or share personal information, no further action is needed. Our website does not respond differently to "Do Not Track" signals.
Categories, for California residents. In the last 12 months we collected identifiers (such as name, email and IP address), internet activity (website and signing activity), professional or employment information (from inquiries and applications), signatures and other information in documents you sign, and the contents of communications with us. We collected them from you and from your use of the Corporate Services, for the purposes in Section 2, and disclosed them to the recipients in Section 3. We have not sold or shared personal information. We do not use sensitive personal information to infer characteristics about you.
7. Children
The Corporate Services are not directed to children. We do not knowingly collect personal information from children under 13. If you believe a child has given us personal information, email info@reecenben.com and we will delete it.
8. International visitors (EEA and UK)
Our website is meant for people in the United States, but if you are in the European Economic Area (EEA) or the United Kingdom, Reecenben, Inc. is the controller of your personal information. We use it on these legal bases: to take steps you ask for before a contract or to perform a contract with you; our legitimate interests in running, securing and improving our business and website, which we balance against your rights; compliance with legal obligations; and your consent, where we ask for it, which you may withdraw at any time. We are based in the United States, and your information is processed and stored there. When we transfer personal information from the EEA or UK to the United States, we use appropriate safeguards, such as the European Commission's standard contractual clauses and the UK addendum to them, or another lawful transfer method. You have the right to access, correct, delete, restrict or object to our use of your personal information, and to receive it in a portable format. To use these rights, email info@reecenben.com. You also have the right to complain to the data protection supervisory authority where you live or work, or where you believe a problem happened. In the UK, that is the Information Commissioner's Office.
9. Changes to this Policy
We may update this Policy. When we do, we will post the new version on this page with a new effective date.
